1. The short version
We collect what we need to run GiveHalo and nothing we cannot justify. We do not sell your personal information. We use trusted vendors for payments, email, and AI, and we hold them to the same standard. You can ask to see or delete your data at any time.
2. What we collect
Information you give us
- Account details such as your name, email, and password (stored only as a hash).
- Organization and sender details you enter during onboarding, including your verified sender identity and, if you provide it, entity and tax information.
- Messages, notes, and settings you create in the product.
Information we generate or gather
- Prospect research compiled from public sources, with each claim tied to a source or flagged as unverified.
- Usage and billing records, including credits consumed and plan activity.
Information from your device
- A session cookie that keeps you signed in, and a small preference for your light or dark theme. We do not run third-party advertising trackers.
We scrub sensitive identifiers such as full Social Security numbers, full EINs, and card numbers on the server before they are stored.
3. How we use it
- To provide the service: find prospects, research them, score fit, and draft outreach.
- To process payments and manage your plan and credits.
- To keep the service secure and to prevent abuse.
- To support you and to improve how the product works.
4. AI processing
Our agents use large language models provided by Anthropic to research prospects and draft messages. To do that, relevant parts of your data are sent to Anthropic for processing. We send only what the task needs. We do not use your private data to train public models.
5. Who we share with
We share personal information only with vendors that help us run the service:
- Stripe for payments. Your full card details go directly to Stripe, not to us.
- Resend to deliver email you choose to send.
- Anthropic for the AI processing described above.
- Our hosting and database providers, which store the data needed to run the app.
We may also disclose information if the law requires it, or to protect the rights and safety of GiveHalo, our users, or the public. If the company is ever involved in a merger or sale, data may transfer as part of that deal, subject to this policy.
6. How long we keep it
We keep your information while your account is active and for as long as we need it to meet legal, accounting, or security obligations. When you ask us to delete your account, we remove or anonymize your personal data unless we are required to keep some of it.
7. Security
We protect data in transit with encryption, hash passwords, gate sensitive operations behind authentication, and limit who can reach what. No system is perfectly secure, but we take this seriously and keep improving.
8. Your rights and choices
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to certain processing. You can exercise these rights by emailing waynard@cappedoutmedia.com. We will not charge you for a reasonable request or treat you differently for making one.
9. International users
We operate from the United States, and your information is processed there and wherever our vendors operate. If you use GiveHalo from outside the US, you understand that your data is handled under US law.
10. Children
GiveHalo is for organizations and adults. It is not directed to anyone under 18.
11. Changes
We will update this policy when our practices change. If a change is significant, we will give reasonable notice. The date at the top shows the latest version.
